That’s why we are excited to introduce our latest feature update: Case Lifecycle Management. With this enhancement, we go beyond traditional Know Your Customer (KYC) processes by providing end-to-end support for the entire lifecycle of a case—from onboarding to archiving.
Why It Matters
Compliance teams handle a multitude of cases daily, each requiring different levels of monitoring, updates and regulatory adherence. Our new five-phase lifecycle model ensures that each case is categorized correctly, updated as required and remains fully auditable. This means fewer manual interventions, greater efficiency and stronger compliance.
The Five Phases of a Case
Sinpex now tracks cases across five distinct lifecycle stages:
- Onboarding – Initial KYC when a customer first engages with your organization.
- Active – Customers under continuous monitoring, including scheduled Re-KYC assessments.
- Offboarding – Customers whose contracts are not being renewed but still require oversight, e.g. monitoring for KYC-relevant changes.
- Inactive – No active contract, but case records remain visible in the system.
- Archived – Cases preserved for auditing and regulatory purposes.
Each phase reflects the real-world journey of customer relationships and compliance requirements, ensuring that cases move seamlessly from one stage to another.
Key Features and Benefits
Case Transitions
This update includes the automatic transition through lifecycle stages, eliminating the need for manual updates. For example:
- Accepting a new customer moves a case from "Onboarding" to "Active"
- Rejecting a new customer moves a case from "Onboarding" directly to "Archived"
- Re-KYC processes keep cases in "Active" unless a review leads to “Offboarding”.
This automation reduces manual workloads while ensuring that compliance teams stay on top of critical updates.
Stronger Re-KYC and Risk Review Workflows
Re-KYC is now seamlessly integrated into the Active phase. Cases stay in "Active" while undergoing reviews and compliance teams can manually trigger Re-KYC at any time when relevant data changes. If a case fails Re-KYC, it transitions to "Offboarding" automatically.
More Control with Manual Overrides
While automation streamlines compliance processes, Sinpex allows compliance teams to manually update lifecycle phases when needed.
Enhanced Auditability with "Archived" Cases
Cases that reach the "Archived" state remain available for compliance audits, providing a comprehensive history of customer interactions and risk decisions. This ensures that even after customers exit the system, their data remains accessible for regulatory reviews.
New Terminal Workflow States
To further enhance process clarity, we’ve introduced configurable terminal states:
- Accepted – The final workflow state for successfully onboarded or re-verified customers.
- Rejected – The final workflow state for cases that do not meet compliance requirements.
These terminal states ensure that every case is properly closed, preventing accidental reactivation or compliance gaps.
Role-Based Permissions for User Groups
With the new lifecycle feature, "accept" and "reject" are now specific actions rather than just workflow states. This change allows us to apply permissions directly to these actions, enabling a clear separation of responsibilities. Organizations can now configure distinct user groups—one responsible for reviewing cases and another authorized to make the final approval or rejection decision. This structured approach enhances security, reduces unauthorized changes, and ensures a more controlled and compliant decision-making process.
